Job Overview:

The Office Administrator is a key resource in the operating unit’s back office ensuring adequate administrative support is provided to all resources and customers at multiple office locations. This role has daily interaction with all resources across the company and our internal Operations Management teams on a regular basis.

Responsibilities

  • Uses skills to contribute to effective use of company tools and processes to achieve goals in efficient ways.
  • Subject matter expert in areas of responsibility.
  • Recommends potential solutions to issues; follows established escalation procedures.
  • Assists with the communications of standards, processes, and procedures across responsibilities.
  • Provides support in the assigned office location as well as other office locations on a remote basis.

 

  • Office coordination and maintenance responsibilities which include, but not limited to, the following duties required to support the assigned locations
    • Order office and kitchen supplies and maintain stock in store room and in lunch room
    • Distribute access badges and keep up with monthly badge list
    • Ensure conference rooms are tidy, equipped with working phones, necessary cables, and white boards are wiped down
    • Distribute mail
  • Facilities Management - Coordinate maintenance and repair of office fixtures including lighting, heating, water, restrooms, fixtures, and refrigerator, dishwasher, garbage disposal, etc.
  • Equipment Management and Repair
  • Keep printers stocked, and understand the use of in-office AV equipment
  • Coordinate repair of Perficient owned equipment with appropriate department such as IT or Marketing.
  • Plan meetings and set up catering as needed.
  • Coordinate Employee Engagement events and Holiday parties planning
  • Create Purchase Order Requests when required
  • Receptionist duties - Answer phones, welcome and greet guests, book conference rooms, sign for FedEx and UPS packages, maintain office distribution list
  • Vendor Invoice Processing – reconcile invoice charges, prepare invoices for Accounts Payable processing, and obtain required approvals for payment
  • Monthly corporate credit card reconciliation
  • Ad Hoc requests as needed

 

Qualifications

  •  

    • Two to three years related experience
    • Excellent communication skills both written and verbal
    • Strong initiative and desire to excel
    • Attention to detail
    • Intermediate knowledge of Microsoft Office – Outlook, Excel, Word, & PowerPoint
    • Ability to multi-task and prioritize tasks to meet deadlines
